required = ['order_id', 'customer_id', 'sku', 'qty', 'unit_price', 'discount', 'due_date']
missing = [key for key in required if not record.get(key)]
if missing:
send_to_human_review(record, missing)
Bước 2: So khớp ba chiều đơn hàng – giao nhận – hóa đơn.

1. Pain – Receivables are still reconciled through memory and spreadsheets
At 6 p.m., Nam, the owner of a building materials distribution company with 12 branches in Long An, received a call from a dealer: the invoice amount did not match the delivery note. Accounting opened Excel, warehouse staff searched Zalo, and sales looked for the purchase order on a phone. Three departments produced three different figures.
This is a common operation powered by manual labor: orders, delivery notes, invoices, and discount tables are scattered across systems. Employees spend hundreds of hours each month checking them, yet still miss short deliveries, incorrect prices, misapplied discounts, and overdue balances. When one employee leaves or a computer goes down, the process immediately becomes a bottleneck.
2. Agitate – A few incorrect rows can erode the entire margin
In a simulated scenario for a 12-branch distributor, small discrepancies can accumulate to approximately VND 900 million per year. Slow collections force the company to borrow working capital to purchase cement, steel, and tiles for the next inventory cycle. Six additional collection days do not mean merely waiting six days; they also mean extra interest, lost early-payment discounts, and missed opportunities to buy inventory at favorable prices.
Hiring more accountants only patches the process while increasing fixed costs. Management receives attractive reports that are effectively vanity KPIs, while employees spend time reconciling records instead of collecting debt. Rushed AI deployments or oversized project plans create more technical debt, uncontrolled API usage, and another avoidable expense.
3. Solve – Three implementation steps and seven practical lessons
Step 1: Consolidate data without replacing every existing system. Lesson 1 is to pilot with one branch or a customer group carrying substantial receivables. Lesson 2 is to standardize a minimum set of fields: order ID, customer ID, SKU, quantity, unit price, discount, delivery date, and payment due date. The AI Agent receives Excel files, accounting exports, and documents submitted through Zalo or shared folders, then extracts them into one consistent structure.
required = ['order_id', 'customer_id', 'sku', 'qty', 'unit_price', 'discount', 'due_date']
missing = [key for key in required if not record.get(key)]
if missing:
send_to_human_review(record, missing)
Step 2: Perform three-way matching across purchase orders, deliveries, and invoices. Lesson 3 is that AI should flag discrepancies, not alter accounting records automatically. Lesson 4 is to define monetary and percentage thresholds: quantity gaps, incorrect prices, unauthorized discounts, and overdue invoices must generate alerts. Lesson 5 is to route every exception to an authorized approver rather than allowing the model to execute a transaction independently.
Validate totals using quantity × unit price − discount.
Match order IDs and SKUs across all three documents.
Rank receivables by overdue days and value at risk.
Record the approver, approval time, and adjustment reason.
Step 3: Restrict execution rights and operating costs. Lesson 6 is to separate the analytical Reasoner from the execution Actuator, reducing the risk of prompt injection taking control of the server. HimiTek uses OpenClaw Gatekeeper with 9router v0.4.66 and LiteLLM dual-instance failover. Shell commands, transactions, and elevated tools are locked by default and run only with a whitelist or explicit user permission. Lesson 7 is to impose hard budget caps, such as USD 5 per month for each virtual key or developer, together with rate limits and automatic API key rotation to stop runaway loops.
In the simulation, this workflow reduced reconciliation time by 75%, released more than 2,400 administrative hours per year, detected approximately VND 900 million in discrepancies early, and shortened average collection time by six days. These are measurable cash and labor gains, not half-finished optimization.
4. CTA – Start with one branch and one recovery target
Select one branch, 50 customers with the largest outstanding balances, and the most recent 90 days of data. HimiTek will help establish a baseline for reconciliation hours, discrepancy value, and collection days, then pilot an AI Agent with mandatory human approval. The required outcome is specific: recover leaking revenue, collect cash sooner, and return valuable working hours to the accounting team.
